Expedite Requests

The Why

Today we’re going to talk about something that all Website Specialist 2’s and 3’s should understand completely, but should be kept to an absolute minimum—expedite requests.

So first things first: While some expedite requests are unavoidable, vendor expedite requests are a last resort and should be rare, so you should always do your best to avoid ever having to request a new build expedite.

The How

We should always be sending our projects to build as soon as possible and not waiting, but in the event you do have to submit an expedite request, here are a few things you should always remember:

  • The due date should always be one day prior to the customer appointment date.  It should always be this way in any situation.
  • Make sure you wait until the expedite request has been approved before updating the Jira ticket status or sending the date to the customer.  While we do our best to accommodate every request, there are some that we just can’t approve.
  • Understand that this process is for external vendor expedite requests only.  For inquiries and requests for tickets being worked on by our internal team, your TM or TL will have to reach out to the  Internal Build team leadership before confirming any dates.
  • If you’re not sure if your project even needs to be expedited, make sure you use the expedite calculator.

 

DO NOT submit an expedite request if:

  • If the review date on a new build project is 6 business days or more out, you do not need to submit an expedite request.
  • If the review date on a revisions is 2 business days or more out, you do not need to submit an expedite request.
  • Marketing services and SEO tickets cannot be expedited.
  • Internal builds cannot be expedited.  If the customer needs to have the site done sooner than standard timeframes, then the project will have to be sent out to the vendors.

 

So while we can request that the vendors expedite a build, we have to give them enough to time to actually build the site,  and give QA enough time to look it over, so there are some minimums that you will have to meet:

  • For a new build we will need at least 3 business days to build the site which includes one business day to QA.
  • For revisions we will need at least one full business day to complete.

Note:  Any site that has been deemed as high content which will require an extension request cannot be expedited under any circumstances.

 

So now you’re ready to submit your request:

  • Get approval for expedite from a leader
  • Go to x.co/WDSRequests
  • Submit an Expedite request using the template(s) in Confluence
  • Once approved/completed you will receive an email notifying you (from Jira)
  • You can also review status on your dashboard widget “My expedite/out of scope requests”

Always Remember!  While we try to accommodate all requests, there are times when they can’t be approved.  If the time frame is too short or the vendors have received so many requests that they can’t accommodate anymore, then we do have to start denying them, so make sure you keep them to an absolute minimum.
